Automation for HVAC companies that answer every call

In peak season the phone rings while every tech is on a job. I set up the replies, follow-ups and reminders that keep those calls from going to the next company, in the tools you already use.

Tell me the task that eats your week. A written first plan in 2 business days.

A missed call on a 98 degree afternoon

  1. 1A homeowner calls at 3:12 PM and every line is busy
  2. 2At 3:13 PM they get a text from your number with a link to book
  3. 3They pick a slot for tomorrow morning and describe the problem
  4. 4The job lands in your field software with the details
  5. 5The diagnosis says replace, and the estimate follow-up starts on its own
Sample workflow

Where HVAC companies lose time and customers

Missed calls in the busiest weeks

Home services businesses miss about 14% of calls, according to CallRail’s 2025 benchmark, and the share climbs when the weather turns. A homeowner with no AC does not leave a voicemail and wait. The first company that answers gets the job, and usually the replacement that follows.

Replacement estimates that go quiet

A new system is a big decision, and most homeowners compare two or three quotes. The estimate goes out, the homeowner has questions about financing or timing, and nobody calls back because the office is busy with today’s repairs. The company that follows up well wins more of them.

Maintenance plans that lapse

Maintenance agreements keep techs busy in the quiet months and bring the replacement when the time comes. Renewals and tune-up scheduling usually depend on someone remembering, so a share of plans quietly expire every year.

The same job typed three times

The call is written on a pad, entered in the field software, then typed again in QuickBooks. Every retyping costs office time and creates the errors that show up at month end.

What missed calls cost HVAC companies

An example with round numbers, not a client. The missed call rate comes from CallRail’s 2025 benchmark for home services. Put in your own numbers in the missed call calculator.

What I set up

Fixed price, agreed before work starts. You own the accounts, the setup and the data.

  • Missed call text back from your business number in under a minute, with a link to book
  • After-hours replies that say when you will call and capture what is wrong
  • Replacement estimate follow-ups on day 2, 5 and 10 that stop when the homeowner replies
  • Maintenance plan renewal reminders and tune-up scheduling before each season
  • Review requests after a completed job, sent while the tech is still remembered
  • Sold jobs sent back to Google Ads, so the ads learn which leads became replacements

The workflows, step by step

Sample messages with made-up names. Yours are written in your voice, and your team approves every one before it goes live.

Missed call text back

Starts when: a call rings out or goes to voicemail

  1. Within 1 minute

A text from your business number

Sample text message: Hi, this is Comfort Air. Sorry we missed your call. What’s going on with your system? Reply here or book a time: [link]

  2. On reply

The conversation lands in your office inbox and the call-back list, tagged as no cool, no heat or other

  3. After 15 minutes with no reply

One reminder, then the lead goes to the call-back list for a person

Replacement estimate follow-up

Starts when: an estimate for a new system is sent

  1. Day 1

A thank you with the estimate, the financing link and the tech’s name

  2. Day 3

    A short check-in

Sample text message: Hi Maria, any questions about the estimate for your new system? Happy to walk through the financing options. Reply here or call us.

  3. Day 7

A task for the comfort advisor to call personally

  4. Day 14

A last note, then the estimate is marked lost with a reason, so you know why jobs slip

Maintenance plan renewals

Starts when: a plan is 30 days from renewal, or a season is about to start

  1. 30 days before renewal

A renewal reminder with what the plan includes and a one-click renewal

  2. 6 weeks before summer and winter

Tune-up scheduling for every member, offered by neighborhood so routes stay tight

  3. After the visit

A review request and a note of anything the tech flagged for later

What I measure

Missed call rate by hour
Shows exactly when you need text back or another person on the phones.
Time to first reply
Measured in minutes for every lead, from calls, forms and ads.
Estimate close rate
Separate for repairs and replacements, so follow-up gets credit where it works.
Plan renewal rate
The steady revenue that keeps techs busy in the shoulder seasons.

How the first month goes

  1. Week 1I look at how leads arrive and get answered today, what your software already does and where the gaps are.
  2. Week 2The first workflow goes live, usually the instant reply to missed calls and new leads, because it pays back fastest.
  3. Week 3Follow-ups and reminders, written with your team and tested on real leads before they run on their own.
  4. Week 4Reporting: reply times, show rates and close rates you can check any day, plus a review of what to change.

Rules for texting customers

  • Business texting in the US requires carrier registration, called A2P 10DLC. Unregistered numbers get filtered or blocked.
  • Forms ask for consent to receive texts, in plain words, and keep a record of it.
  • Every sequence honors STOP immediately and stops the moment a customer replies.
  • Automated messages go out between 8 AM and 8 PM local time. Florida limits sales calls to those hours, and I use the same window for texts as a safe default.
  • No sensitive details in texts: no health information, no case facts, no payment data.

Mistakes I see most

Texting from a personal number

Replies get lost when the employee is off, and the customer has no idea who is writing. Everything should come from the business number and land in a shared inbox.

Follow-ups that never stop

A sequence that keeps going after the customer replied, booked or said no is the fastest way to annoy people. Every reply stops the sequence.

Buying a new tool before using the one you have

Most field service tools already include texting and reminders. Setting those up properly is usually the first and cheapest step.

Built on the tools you already use

  • ServiceTitan
  • Housecall Pro
  • Jobber
  • QuickBooks Online
  • CallRail
  • Google Business Profile

If your software already does part of this, I set that up first and build only what is missing. What can be connected depends on the tool and your plan with it, so the free review checks it before any price. Names are trademarks of their owners, listed only as tools owners commonly use.

Want more of these calls? I also run Google, Local Services and Meta ads for HVAC companies.

Result from a real client: Remodeling company

Same $3,000 in ads. Seven signed contracts instead of four.

The ads were working. The leads were waiting five hours for a reply. Fixing that nearly doubled the contracts.

Questions owners ask

Doesn’t ServiceTitan or Housecall Pro already do this?

Partly. Field service tools include texting, reminders and some marketing features, and they are often unused or half set up. I start there and build only what the tool can’t do, like sending sold jobs back to the ads or a follow-up path your tool doesn’t support. You don’t pay twice for the same thing.

What is missed call text back?

When a call isn’t answered, the caller gets a text from your business number within a minute, with a short message and a link to book or reply. It turns a missed call into a conversation before the caller tries the next company. Business texting in the US requires carrier registration, called A2P 10DLC, and I handle it as part of setup.

Will customers find automatic texts annoying?

Not when they are short, few and useful. Each message is written in your voice, follow-ups stop the moment the customer replies, and anyone who opts out is never texted again.

Can it connect to QuickBooks?

Yes. Completed jobs can create the invoice in QuickBooks Online, and payments update the job, so nothing is typed twice.

How long does setup take?

One workflow, like missed call replies and estimate follow-up, usually takes 1 to 2 weeks. A complete path from new lead to paid invoice usually takes 2 to 6 weeks. You see working pieces along the way.

What does it cost?

Each project gets a fixed price in a written proposal, agreed before work starts. The free automation review gives you a written first plan and a price range within 2 business days. An optional monthly plan covers hosting, monitoring and changes.
