What do missed calls cost your business?

By Leo Agostini, 13 years in marketing. Updated .
Multiply your missed calls a month by the share of those callers who would have bought, then by your average sale. CallRail’s 2025 benchmark puts missed call rates at 14% in home services, 28% in legal and 32% in healthcare. For a business that gets 60 calls a week, that can mean thousands of dollars a month going to whoever answered next.

60 calls a week × 14% missed × 4.33 weeks = 36.4 missed calls a month. × 30% who would have bought = 10.9 customers × $800 = $8,736 a month.
Why the number is usually higher than it looks
Missed calls cluster. They happen when the office is busiest, which is also when demand is highest: a heat wave, a storm, a Monday morning. The callers you miss are often the most urgent and the most ready to buy.
The first job is not the whole customer. A repair call can turn into a replacement, a consult into a year of treatments, an inquiry into a case. The calculator uses one sale; the real loss includes what that customer would have bought next.
You paid for many of those calls. If the call came from an ad, the click was already paid. Missing it raises your real cost per customer, even when the ads report looks fine.

Questions owners ask
- What percentage of calls do small businesses miss?
- It depends on the industry and how a missed call is counted. CallRail’s January 2025 benchmark of small businesses found missed call rates of 14% in home services, 28% in legal and 32% in healthcare. Your phone system’s call log gives your real number.
- Don’t people just call back?
- Some do. Many call the next business on the page instead, especially when the problem is urgent. Research published in Harvard Business Review found that leads contacted within an hour were nearly seven times as likely to qualify as leads contacted an hour later, so even a callback that comes late loses much of its value.
- What is the cheapest way to stop losing missed calls?
- An automatic text back from your business number within a minute of the missed call, with a way to reply or book. It doesn’t replace answering the phone, but it keeps the caller talking to you while your team gets free.
- Should I hire an answering service instead?
- It can help, especially for after-hours emergencies. Compare its monthly cost with the loss in the calculator. Many businesses combine both: a text back for every missed call and a person for after-hours emergencies.
