Automation for plumbers that answers the 2 AM call

Emergency calls answered even when nobody can pick up, water heater and repipe quotes followed up on their own, and invoices in QuickBooks without retyping.

Tell me the task that eats your week. A written first plan in 2 business days.

A burst pipe at 2:07 AM

  1. 1A homeowner calls and nobody is at the office
  2. 2At 2:08 AM they get a text asking if the water is shut off and where the leak is
  3. 3Their answer marks it as an emergency
  4. 4Your on-call plumber gets the address and the details by text
  5. 5The job lands in your field software, ready to invoice in the morning
Sample workflow

Where plumbing companies lose time and customers

Emergencies that hit voicemail

A burst pipe doesn’t wait for office hours, and neither does the homeowner. If the call goes to voicemail, the next plumber on the page gets the job, and often the water heater or repipe that follows.

Big quotes that go quiet

A water heater replacement is often decided the same day. A repipe or a sewer line can take weeks. Both depend on someone following up while the crew is out on today’s calls, which is exactly when it doesn’t happen.

Work that repeats, forgotten

Water heater flushes, annual backflow tests where your area requires them and maintenance plans all come back on a schedule. Without reminders, that steady work goes to whoever reaches the customer first.

The same job typed three times

Phone notes, then the field software, then QuickBooks. Every retyping costs office time and creates the errors that show up at month end.

What missed calls cost plumbing companies

An example with round numbers, not a client. The missed call rate comes from CallRail’s 2025 benchmark for home services. Put in your own numbers in the missed call calculator.

What I set up

Fixed price, agreed before work starts. You own the accounts, the setup and the data.

  • Missed call text back from your business number in under a minute
  • After-hours triage that asks two questions and alerts your on-call plumber for real emergencies
  • Quote follow-ups for water heaters, repipes and sewer lines that stop when the customer replies
  • Reminders for flushes, backflow tests and maintenance plans
  • Review requests after a completed job
  • Sold jobs sent back to Google Ads, so the ads learn which leads became big jobs

The workflows, step by step

Sample messages with made-up names. Yours are written in your voice, and your team approves every one before it goes live.

After-hours triage

Starts when: a call or form arrives outside office hours

  1. Within 1 minute

    A text asking two questions

Sample text message: Hi, this is Rapid Plumbing. Is water actively leaking right now, and were you able to shut off the main valve? Reply YES or NO and the address.

  2. If it is an emergency

The on-call plumber gets the address, the answers and a call button by text

  3. If it can wait

A booking link for the first slots tomorrow morning, and the lead goes to the morning list

Water heater and repipe quote follow-up

Starts when: a quote for planned work is sent

  1. Same day

The quote with photos from the visit and the financing link

  2. Day 2

    A short check-in

Sample text message: Hi James, any questions about the water heater quote? We can usually install within 48 hours of your OK.

  3. Day 5

A call task for the plumber who did the visit

  4. Day 10

A last note, then the quote is marked lost with a reason

Recurring work reminders

Starts when: a date comes up from past work

  1. Every year

Water heater flush reminder to customers whose heater you installed or serviced

  2. Before the due date

Backflow test reminders where your area requires annual testing

  3. Each season

Pre-freeze checks in cold areas, sent before the first cold front

What I measure

After-hours leads and how they ended
Shows whether nights pay for an on-call plumber or just need good triage.
Time to first reply
Every lead, day or night, measured in minutes.
Quote close rate by job type
Water heaters, repipes and sewer lines tracked apart from service calls.
Repeat work from reminders
Flushes and backflow tests booked from reminders, not from new ads.

How the first month goes

  1. Week 1I look at how leads arrive and get answered today, what your software already does and where the gaps are.
  2. Week 2The first workflow goes live, usually the instant reply to missed calls and new leads, because it pays back fastest.
  3. Week 3Follow-ups and reminders, written with your team and tested on real leads before they run on their own.
  4. Week 4Reporting: reply times, show rates and close rates you can check any day, plus a review of what to change.

Rules for texting customers

  • Business texting in the US requires carrier registration, called A2P 10DLC. Unregistered numbers get filtered or blocked.
  • Forms ask for consent to receive texts, in plain words, and keep a record of it.
  • Every sequence honors STOP immediately and stops the moment a customer replies.
  • Automated messages go out between 8 AM and 8 PM local time. Florida limits sales calls to those hours, and I use the same window for texts as a safe default.
  • No sensitive details in texts: no health information, no case facts, no payment data.

Mistakes I see most

Every night call treated as an emergency

Waking the on-call plumber for a dripping faucet burns people out. Two questions sort a real emergency from a morning job.

Quotes with no owner

When nobody is responsible for following up, planned work waits for the customer to call back, and many never do.

Reminders sent to everyone

A flush reminder to someone who never had a water heater from you is noise. Reminders should come from real job history.

Built on the tools you already use

  • ServiceTitan
  • Housecall Pro
  • Jobber
  • QuickBooks Online
  • CallRail
  • Google Business Profile

If your software already does part of this, I set that up first and build only what is missing. What can be connected depends on the tool and your plan with it, so the free review checks it before any price. Names are trademarks of their owners, listed only as tools owners commonly use.

Want more of these calls? I also run Google, Local Services and Meta ads for plumbers.

Result from a real client: Remodeling company

Same $3,000 in ads. Seven signed contracts instead of four.

The ads were working. The leads were waiting five hours for a reply. Fixing that nearly doubled the contracts.

Questions owners ask

Can after-hours calls go straight to our on-call plumber?

Yes. The automatic reply asks a couple of questions to tell a real emergency from something that can wait until morning. Emergencies alert the on-call plumber by text with the details, and the rest get a booking link for the next day.

What is missed call text back?

When a call isn’t answered, the caller gets a text from your business number within a minute, with a short message and a way to reply or book. It keeps the customer talking to you instead of calling the next plumber. Business texting in the US requires carrier registration, called A2P 10DLC, and I handle it as part of setup.

Will it work with our field service software?

Usually, yes. ServiceTitan, Housecall Pro and Jobber already include some texting and reminders, and I set those up first. I build only what they can’t do, like after-hours triage or sending sold jobs back to the ads. What can be connected depends on the tool and your plan.

How long does setup take?

One workflow, like missed call replies and estimate follow-up, usually takes 1 to 2 weeks. A complete path from new lead to paid invoice usually takes 2 to 6 weeks. You see working pieces along the way.

What does it cost?

Each project gets a fixed price in a written proposal, agreed before work starts. The free automation review gives you a written first plan and a price range within 2 business days. An optional monthly plan covers hosting, monitoring and changes.
